Maintenance Shop
P. Flanigan and Sons has been an area leader in heavy civil construction projects in Maryland for over 140 years. We service a wide range of transportation modalities from city streets to state highways, and from seaports to airports.
We are seeking an Assistant Shop Administrator. Reporting to the Shop Supervisor, this position supports the smooth operations of the warehouse and maintenance shop. As an integral part of the team, they will be responsible for providing administrative support and data entry, managing inventory, processing internal and external orders, and documenting safety procedures and programs.
Salary Range: $55,000 – $65,000, based on experience

Responsibilities
- Provide administrative support, including data entry, filing, and record-keeping
- Enter invoices into Vista ERP for review and approval
- Enter documents and other data into Vista as needed
- Process records and prepare reports for annual equipment inventory
- Verify data for completeness and accuracy
- Maintain accurate inventory records, including orders, receiving and processing inventory
- Coordinate with vendors to maintain warehouse inventory levels
- Documenting and preparing internal orders as needed
- Provide backup to Shop Assistant as needed
Promote a positive safety culture and document safety programs including, but not limited to, daily safety meetings, accident investigations, monthly audits, toolbox talks, near misses and incident sharing
Requirements
- Must be at least 18 years of age
- High school diploma or GED
- Valid driver’s license and reliable personal vehicle
- Previous experience in warehouse, maintenance, or office environment
- Strong organizational skills, attention to detail, and ability to prioritize workload
- Good communication skills, including face-to-face, e-mail, and phone conversations
- Knowledge of Microsoft Office suite and office equipment
- Must be able to lift and move up to 50 lbs
